General Information

When and where will WSSTL 2027 take place?

The 2nd World Symposium on Sustainable Transport and Livability will take place from 30 March to 2 April 2027 at TU Wien in Vienna, Austria.

Who should attend the symposium?

WSSTL 2027 welcomes researchers, policymakers, city representatives, practitioners, transport professionals, industry representatives, NGOs and students interested in sustainable transport, urban development and livability.

What will the symposium program include?

The program will include a keynote lecture, panel discussions, scientific paper presentations, technical visits, poster sessions, Visibility Lab presentations, activities for young researchers, networking opportunities and special events.

What is the official language of the symposium, and will translation services be provided?

The official language of the symposium is English. Translation services will not be provided.

What dietary options (vegan/ vegetarian/ non-vegetarian) will be available during conference lunches?

If selected during the registration process, the following dietary options will be available during conference lunches: vegetarian, Hindu vegetarian/ Jain, vegan, gluten-free, lactose-free, halal. Please disclose your dietary requirements during the registration process. If you have any other dietary restrictions, please contact the organising committee.

Are breakfast and dinner included in the standard conference registration fee?

No, breakfast and dinner are not included in the conference registration fee. The registration fee includes lunches and coffee breaks on conference days (31 March, 1 April and 2 April 2027).

What registration categories will be offered?

There are two general registration categories that one can choose from:

  • Four day – full registration
  • One-Day-Pass

Paper presenters and poster authors are subject to the common registration fees. Visibility Lab registrations are subject to specific fees.

When will registration open?

Registration is already open. For further information visit the registration page.

When is Early-Bird registration available, and how much is the fee?

Registration for WSSTL 2027 is already open. Early-Bird registration rates will be available until 15 January 2027. After this date, standard registration fees will apply.

The Early Bird registration fees are:

  • Participants from low-income countries: €250 for students and €450 for standard participants
  • Participants from high-income countries: €500 for students and €980 for standard participants

The applicable fee category is determined according to the World Bank country-income classification. Participants applying for the student rate must provide a valid certificate confirming their student status during registration.

What is included in the registration fee?

Depending on the registration type there are different benefits included. The registration fee for Full Registration includes:

  • Admission to conference sessions and discussions
  • Access to the opening and closing events
  • Lunches and coffee breaks on the main conference days
  • IGSTL membership until the next WSSTL
  • A public transport pass for Vienna (Kernzone 100) during the symposium
  • Access to discounted travel options
  • A visa support letter upon request and after registration

Some activities, including technical visits, may require an additional registration.

Are reduced registration fees available for students?

Yes, reduced registration fees are available for students. Participants must provide a valid certificate confirming their student status during the registration process.

Are reduced registration fees available for participants from lower-income countries?

Yes, reduced registration fees are available for participants from countries classified by the World Bank as low-income or lower-middle-income economies.

Check your country’s World Bank income classification

Students from these countries can also benefit from the reduced student registration fee. A valid certificate confirming student status must be provided during the registration process.

Are bursaries, travel grants or registration-fee waivers available?

At present, WSSTL 2027 does not offer general bursaries, travel grants or full registration-fee waivers for postgraduate students, unfunded authors or participants from lower-income countries.

Additional financial support may become available if suitable sponsors are secured. However, no such support can currently be guaranteed. Any future opportunities will be announced on the WSSTL 2027 website.

Reduced registration-fee categories may still be available depending on the participant’s affiliation, country-income category or student status.

Which country-income category applies if I study or work in another country?

The applicable registration-fee category is determined by the country of the affiliation under which you participate in WSSTL 2027.

Is the Mayor’s Welcome Dinner included?

No. Participation in the Mayor’s Welcome Dinner on 31 March 2027 requires a separate ticket. The number of places is limited and tickets are offered on a first-come, first-served basis.

Are the technical visits included in the main registration fee, or is there an additional cost?

Technical visits are not included in the main registration fee and participation requires a separate registration. More information on technical visits will be provided in February 2027.

Can I receive a visa support letter?

Visa support letters can be issued upon request after successful registration. As visa procedures may take several months, international participants are encouraged to register and begin their visa application as early as possible.

If my visa is denied, am I eligible for a full or partial registration refund?

Visa refusal does not constitute grounds for cancellation of the registration. Any refunds remain subject to the standard cancellation terms. Written cancellations to wsstl2027@tuwien.ac.at

  • Received on or before 31 January 2027 (23:59 CET): refund of the full fee, less a €50 administration fee.
  • Received between 1 February and 28 February 2027 (23:59 CET): refund of 50% of the fee, less a €50 administration fee.
  • Received or after 1 March 2027: no refund.

If I have registered for the conference but am unable to attend, will I receive a refund?

Cancellation request must be submitted in writing to wsstl2027@tuwien.ac.at . The date on which the organiser receives the written cancellation determines which of the following applies:

  • Received on or before 31 January 2027 (23:59 CET): refund of the full fee, less a €50 administration fee.
  • Received between 1 February and 28 February 2027 (23:59 CET): refund of 50% of the fee, less a €50 administration fee.
  • Received or after 1 March 2027: no refund.

If I have registered for the conference but cannot attend, can another person attend in my place?

General name changes and attendee substitutions are not permitted. As an exception, a registration may be transferred to a co-author of an accepted paper or poster upon written request submitted on or before 28 February 2027. Transfers cannot be processed on or after 1 March 2027. If the substituting co-author falls into a higher fee category, the price difference must be paid prior to transfer confirmation.

Is on-spot registration available for Symposium and/or Technical Tours and/or the Mayor’s Dinner?

No, on-spot registration is not available. All attendees must complete their registration online prior to the registration deadline of 29 March 2027.

How can accredited media representatives attend WSSTL 2027?

Complimentary registration is available to accredited media and press representatives, subject to the conditions below and to availability.

  • Proof of accreditation is required: a valid press card, an outlet-issued staff ID, or — for freelancers — a signed letter from an editor confirming the assignment.
  • Applicants sign a short media pledge confirming their intent to produce coverage of the conference and agreeing to share the resulting article, report, or broadcast piece with the organizing team after it’s published.

In addition, applicants must meet at least one of the following:

  • at least 5 paid delegates are already registered or expected from the applicant’s country,
  • a keynote speaker is affiliated with an institution based in the applicant’s country, or
  • the outlet has a specialized editorial focus on the conference’s subject area.

Other information for the media participants:

  • Complimentary media places are limited and awarded on a first-come, first-served basis to applicants who meet all conditions; early application is recommended.
  • Complimentary registration covers conference sessions and standard delegate materials. It does not include the gala dinner or other separately ticketed events.
  • Applications must be submitted by 28.02.2027, including accreditation proof, the signed pledge, and evidence for whichever eligibility condition above applies. You can obtain the pledge document and make your application by emailing wsstl2027@tuwien.ac.at.

Paper Submissions

When is the full paper submission deadline?

The deadline for full paper submissions is 31 July 2026. The submission has already been closed.

How will submitted papers be reviewed?

All submitted papers will undergo a double-blind peer-review process. This means that the identities of both the authors and the reviewers will remain anonymous during the review process.

Is an in-person presentation required for publication in the Special Issue?

Yes. If a paper is accepted, it must be presented in person at WSSTL 2027 in Vienna to be eligible for publication in the Special Issue.

WSSTL 2027 will not offer an online or virtual presentation option. In-person presentations and discussions are a central part of the symposium and provide important opportunities for academic exchange and networking.

Can I present my paper or attend the conference virtually?

No, at WSSTL we plan on-site presentation only. There will be no option to participate online or virtually.

Are article processing charges waived?

Papers accepted for publication in the WSSTL-2027 special issue will be published open access with a 100% article processing charge waiver, subject to the applicable symposium and journal requirements.

Does an author of an accepted paper need to register?

Yes. At least one author of every accepted paper must complete symposium registration by 15 January 2027 to ensure inclusion in the programme and the WSSTL-2027 special issue.

Do I need to bring my own laptop for my presentation?

No, you don’t need to bring your own laptop for your presentation. As a paper presenter, please submit your presentation by 30 March 2027 to the submission portal.

Is there a mandatory slide template I must use for oral presentations?

Yes, there is a mandatory presentation slide template. Information on the presentation template will be offered at a later date.

My paper got rejected, what happens now?

If your paper got rejected you can still showcase your research as a poster presenter.

Poster Presentations

Why present your research in our Poster Session?

You will be able to show your research in front of an expert audience.

When is the abstract submission deadline?

The deadline for the abstract submission is 15 October 2026.

Where can I submit my poster abstract?

Note that all submissions are handled through the same interface used for conference registration. However, you can submit your Poster Presentation abstract without registering for the conference. Therefore, submitting an abstract does not automatically register you for WSSTL 2027.

Will the organising committee print posters, or do presenters need to bring their own printed copies?

The organising committee will print all accepted posters. Poster presenters are required to submit their final poster file by 15 March 2027. Changes after this date will not be possible.

What are the required dimensions and formatting guidelines for posters?

Required poster formats:

  • Poster size: A1
  • Paper orientation: portrait
  • Data format: PDF, minimum resolution of 300 dpi, in colour.
My poster abstract got rejected. What happens now?

If you have submitted an abstract for the paper presentations and it got rejected you can still register as a regular attendee.

Visibility Lab

For who is the Visibility Lab intended?

The Visibility Lab at WSSTL 2027 is intended for consortia and research groups as well as practitioners and municipalities. It offers a platform to showcase projects through creative formats and provides a chance to make a highlighted, custom presentation that can be held in various formats before, during and after WSSTL 2027, such as a podcast, video, blog, small exhibition, multi-media presentation, etc., in front of an expert audience. Additionally, accepted contributions will be published in the WSSTL 2027 symposium booklet offering high visibility for you and your project.

What are student buddies?

As a Visibility Lab participant you will have the opportunity to partner with students to co-create personalised presentation materials. If you are interested in working with student buddies you have to register for the symposium by 31 October 2026 . This will leave you and your student buddies enough time to work on your personalised projects.

Travel and Accommodation

Are discounted travel options available?

Yes. WSSTL 2027 participants can access special travel offers provided by the symposium’s railway and airline partners.The required booking information and access codes are provided through the registration process.

Where can I book accommodation?

Bnetwork has been appointed as the official housing office for WSSTL 2027. A selection of hotels with convenient access to the symposium venue is available through the official booking platform.

Do you offer digital public transport ticket?

No, the public transport ticket for the conference participants will be offered only in a paper form and handed upon your registration. For technical reasons, Wiener Linien, the public transport operator issuing this ticket, does not offer Print@Home ticket.

The public transport ticket is valid in the vienna core zone.

What does it mean to become a Conference Partner of WSSTL 2027?

As a conference partner, your organisation will receive excellent visibility during the symposium. This may include visibility in the conference booklet and opportunities to share your expertise through different communication formats prepared for WSSTL 2027, such as videocasts and blog posts.

In return, conference partners are kindly asked to share information about the symposium with their members and the wider audience of their organisation.
