Registration and Fees

Registration will commence on 1st September 2026, with Early Bird rates available until 15th January 2027. After this date, standard registration fees apply. The link to the registration website will be provided here as soon as registration opens.

There are two general registration categories that one can choose from:

1) Four-Day-Pass
2) One-Day-Pass

Paper presenters and poster authors are subject to the common registration fees. Visibility Lab registrations are subject to specific fees. Mayor’s Dinner tickets need to be selected additionally during the registration process and cost an additional fee of 120€. During the registration process, Mayor’s Dinners tickets for one accompanying person can be purchased.

Attendees from low-income countries are eligible for discounted registration fees. The country of your affiliation determines your category. We use the classification by the World Bank to determine your fee categories.

  • Low‑income countries: countries classified as Low income or Lower‑middle income.
  • High‑income countries: countries classified as Upper‑middle or High income.

Tax Liability
Public Austrian universities are equated with the national government in matter of taxes. TU Wien does not costitute a commercial business and is therefore not liable for VAT. On the invoices issued by TU Wien no VAT is indicated. TU Wien can therefore not deduct pre-paid VAT that other companies have invoiced it for.

  • Public transport pass valid in Vienna during the symposium (paper ticket handed over during the on-site registration)
  • Access to discounted travel options by our preferred travel partners (detailed information provided after the registration)
  • Visa support letter (available upon request from September 2026, subject to verification by the organizers)

1.2. Not included or needing additional Registration

  • Technical Visits (additional registration required – registration available from February 2027)
  • Access to Mayor’s Dinner (separate fees to attend the Mayor’s Dinner)

2. One-Day-Pass

For the One-Day-Pass no student discounts or Early Bird rates will be available.

Mayor’s Dinner

The Mayor’s Dinner is scheduled for Tuesday, 31 March 2027 in the City Hall of Vienna. During the registration process you can purchase a ticket for the Mayor’s Dinner for an additional fee of 120 €. Additionally, one ticket for an accompanying person can be purchased. The number of available tickets are limited and offered on a first-come, first-served basis.


Registration Terms and Cancellation Policy

  1. Binding registration
    Registration for participation is binding upon submission.
  2. Payment
    Participation fees are owed upon registration and payable within 7 days of submitting the registration. For registrations submitted within 7 days of the start of the event, fees are payable immediately. Participation is not guaranteed until the full fee has been received. If payment has not been received within 14 days of a written reminder, the organizer may cancel the registration; the cancellation charges in section 3 apply to the date of that cancellation.
  3. Cancellation by the participant
    Cancellations must be submitted in writing to wsstl2027@tuwien.ac.at. The date on which the organizer receives the written cancellation determines which of the following applies:
    • Received on or before 31 January 2027, 23:59 CET: refund of the full fee, less a €50 administration fee.
    • Received between 1 February and 28 February 2027, 23:59 CET: refund of 50% of the fee, less a €50 administration fee.
    • Received on or after 1 March 2027: no refund.
    • The €50 administration fee is charged once per registration, regardless of how many items were booked. Where the applicable refund is less than €50, no refund is made and no additional amount is charged.
  4. Mayor’s Dinner
    The Mayor’s Dinner cannot be cancelled separately. It can only be cancelled as part of a cancellation of the entire registration, under section 3.
  5. Name changes and substitutions
    Name changes are generally not permitted. As an exception, a registration may be transferred to a co-author of the accepted paper or poster. Requests must reach the organizer in writing on or before 28 February 2027; no changes are possible from 1 March 2027. If the substitute qualifies for a different fee category, the difference is payable before the transfer takes effect; no refund is made where the substitute qualifies for a lower fee.
  6. Travel documents and visas
    Participants are responsible for obtaining any travel documents and permissions required for their attendance. Failure to obtain a visa in time does not constitute grounds for an exception to sections 3 or 5. Participants are strongly advised to apply early and to take out travel and cancellation insurance.
  7. Cancellation, postponement or change of format by the organizer
    If the organizer cancels the conference, fees paid will be refunded in full and the organizer will have no further liability to the participant.
    If the conference is postponed or held in a different format, registrations remain valid and transfer automatically to the new dates or format. Participants who are unable to attend may cancel with a full refund by notifying the organizer in writing within 14 days of the announcement of the change. [See note below.]
  8. Refunds
    Refunds are processed by TU Wien and made by bank transfer to the original payer. Please allow several weeks for processing. Any bank charges for transfers outside the SEPA area are borne by the recipient.
  9. Programme
    The conference programme may be subject to change. Changes to the programme do not give rise to a right of cancellation or refund.
